Privacy Policy

Skan is an inventory, warehouse and commerce-operations product operated by SkanItem.com. This policy explains how SkanItem.com handles personal information when businesses, their authorised users and connected stores use Skan.

Information we collect and process

We process information needed to provide Skan, including account and organisation details, user roles, authentication and session information, support correspondence, and technical information such as device, browser, log and diagnostic data.

When a business uses Skan for inventory and operations, we process product, barcode, stock, location, supplier, purchase, invoice, pick, pack, dispatch and fulfilment information that the business enters or makes available to Skan.

Shopify data we collect

When a merchant connects Shopify, Skan collects and processes only the Shopify data needed for the integration features the merchant has enabled. This includes the connected store's identifying details and authorised connection credentials; products and variants; SKU, barcode and inventory quantities; orders and order identifiers; fulfilment status, line items and delivery details; and the customer name and contact or delivery information included with an order where it is needed to pick, pack, dispatch or fulfil that order.

Skan does not collect Shopify payment-card data. We do not use Shopify customer information to build advertising audiences, sell it, or provide it to unrelated businesses.

How we use information

We use Shopify data only to provide the merchant's authorised warehouse and commerce operations: import and process orders, allocate and verify stock, support barcode scanning, picking, packing, dispatch and fulfilment, keep inventory quantities synchronised, and show the information needed to investigate an integration or support issue. We also use limited technical information to secure, maintain and improve the reliability of the integration.

We do not sell personal information or use Shopify customer data for advertising. We do not make Shopify customer data available to unrelated Skan customers. The merchant remains responsible for its customer relationship and for determining the lawful basis for its use of Shopify data.

How information is shared

Within a merchant's Skan workspace, Shopify data is accessible only to that merchant's authorised Skan workspace staff, according to the roles and permissions the merchant assigns. It is not visible to staff of other Skan workspaces. SkanItem.com personnel may access the minimum necessary information only when authorised to operate, secure or support Skan, and are subject to confidentiality obligations.

We may use carefully selected service providers to host, secure, operate or support Skan, but only where they need the information to perform services for us and are subject to appropriate confidentiality and security obligations. We may also disclose information where required by law or to protect Skan, our users or others.

Security

We use reasonable technical and organisational safeguards, including encryption in transit, access controls and protected Shopify connection credentials. No online service can guarantee absolute security, so businesses should keep their account credentials secure and promptly tell us about suspected unauthorised access.

Retention, disconnection and deletion

We retain Shopify data only while the merchant's Skan workspace and connected-store workflow require it. Connection credentials are deleted when the merchant disconnects the store or when the Shopify app is uninstalled. We stop new synchronisation immediately after disconnection or uninstall.

Where a merchant closes its Skan workspace or submits a deletion request, we delete or anonymise Shopify customer information and other workspace data that is no longer required to provide the service. We may retain a limited, access-restricted record where necessary to meet legal, tax, accounting, security, fraud-prevention or dispute-resolution obligations; after that period it is deleted or irreversibly anonymised. We process applicable Shopify customer-data access and erasure requests in accordance with applicable law and Shopify requirements.

Your privacy choices

If you use Skan on behalf of a business, contact your organisation administrator first for access or correction requests. If you are a customer of a merchant using Skan, please contact that merchant directly because it controls the underlying customer relationship and most of the information Skan processes for it.

Changes to this policy

We may update this policy as Skan develops or legal requirements change. The current version and its effective date will always be published on this page.
